Job Summary

    The Administration Supervisor is responsible for providing the overall and general day-to-day functions and activities of general office administration. The role oversees the planning and organizing of administrative support activities while ensuring the supervision of assigned administrative support staff.

Job Responsibilities 1

    Manage office administration and ensures the smooth and effective overall operations of the office.

    Ensure to compile data, prepare error-free reports or collate data for consideration and presentation by supervisor as and when required within the set deadline.

    Monitors and evaluate the efficiency and effectiveness of service delivery methods and

    procedures; recommend, within organization policy.

    Manage confidentially and accurately distribute, record or file correspondences, calls or queries at all times to ensure efficient traceability of all documents.

    Assign work, provides direction to staff and ensures that assigned tasks are completed.

    Ensure to collate data or to prepare professional reports, memos or presentations as and when requested by the supervisor within the established time frame with minimal errors.

    Perform a variety of administrative duties such as drafting and typing routine correspondence, arranging meetings and taking minutes.

    Receive and screen visitors and telephone calls, providing information and handling issues that often require sensitivity and use of sound, independent judgment.

    Ensure to record, monitor and maintain all documents for effective filing and business continuity at all times.

    Maintain highly presentable work area and organizing ability coupled with business based analytical sense to maximize output of self and supervisor at all times.

    Produce ad hoc reports from databases as required by the immediate superior by identifying and organizing the required information, compiling data, designing format, and printing reports.

Job Knowledge & Skills

ERP knowledge preferably SAP functional skills are a requirement to be successful in this role.

Strong decision-making and delegation skills to assign tasks effectively.

Efficient time management, with ability to prioritize tasks and meet deadlines.

Ability to work well with people at all levels within the organization.

Efficient use of office supplies and equipment.

Ability to handle inquiries and complaints with professionalism.

Understanding and adherence to Company policies and procedures.

Keeping up-to-date with industry regulations and compliance requirements.

Job Experience

Minimum 5 year(s) working experience, 3 year(s) relevant working experience, 2 year (s) GCC is a plus
