Job Summary

    The Events Executive is responsible to plan, coordinate, and execute events or activities within an entertainment venue or organization. They are responsible for managing all aspects of events, from conception to completion, ensuring that they meet the organization's objectives and provide a memorable experience for attendees. Events Executives may work on a variety of events, such as concerts, festivals, corporate functions, private parties, or promotional events. Their role involves liaising with clients, vendors, and internal teams to ensure seamless event execution, overseeing logistics, managing budgets, and coordinating all event-related activities. Ultimately, they aim to create successful and enjoyable events that enhance the overall guest experience and contribute to the organization's success.

Job Responsibilities 1

    Plan and coordinate events, collaborating with clients or internal teams to understand objectives and develop comprehensive event plans.

    Identify and secure suitable venues, negotiate contracts, and coordinate logistical arrangements such as setup, layout, and equipment rental.

    Source and liaise with vendors, suppliers, and service providers to secure necessary services and ensure timely delivery.

    Develop and manage event budgets, track expenses, and control costs to ensure events are executed within budgetary constraints.

    Collaborate with marketing teams to develop promotional strategies, materials, and campaigns to attract attendees.

    Oversee guest services, including registration, hospitality arrangements, and VIP services, to ensure a positive attendee experience.

    Manage all aspects of event logistics, including transportation, accommodations, staffing, security, and emergency preparedness.

    Supervise event setup, execution, and breakdown, ensuring activities proceed according to plan and addressing any issues that arise.

    Conduct post-event evaluations to assess success, gather feedback, and identify areas for improvement for future events.

    Build and maintain relationships with clients, sponsors, vendors, and stakeholders to support ongoing event planning efforts.

Job Knowledge & Skills

Knowledge of event planning and execution processes, including venue selection, logistics coordination, budget management, and vendor sourcing.

Strong verbal and written communication skills to effectively liaise with clients, vendors, sponsors, and internal teams, and convey event Ability to negotiate contracts, pricing, and terms with venues, vendors, and suppliers to secure favorable agreements and optimize event budgets.

Excellent organizational skills and the ability to multitask, prioritize tasks, and manage deadlines effectively in a fast-paced event Innovative thinking and problem-solving abilities to develop unique event concepts, troubleshoot issues, and adapt to unexpected challenges during event execution.

ERP knowledge preferably SAP functional skills are a requirement to be successful in this role

Job Experience

Minimum 3 year(s) working experience, 2 year(s) relevant working experience, 2 year (s) GCC is a plus
