Job Summary

    The Events Manager is responsible for the smooth planning, organizing, and executing various types of events, ranging from corporate conferences and trade shows to weddings and social gatherings. Their role involves coordinating all aspects of the event to ensure its successful execution.

Job Responsibilities 1

    Understand the goals, objectives, and requirements of the event to develop event concepts, themes, and formats based on client or organizational preferences.

    Create event timelines, budgets, and project plans to guide the planning process.

    Source and secure event venues, catering services, equipment rentals, and other necessary resources.

    Manage the coordination of event logistics, including transportation, accommodations, and on-site setup.

    Manage event schedules and itineraries, ensuring that all activities run smoothly.

    Oversee the setup and teardown of event spaces, decorations, and technical equipment.

    Approve and contract with vendors, suppliers, and service providers (caterers, florists, audiovisual technicians, etc.).

    Negotiate contracts, pricing, and terms with vendors to ensure cost-effective solutions.

    Develop and manage event budgets, tracking expenses and ensuring adherence to financial constraints.

    Monitor costs and make adjustments as needed to keep the event within budget.

Job Responsibilities 2

Create marketing materials and promotional strategies to attract attendees and promote the event.

Utilize various marketing channels, such as social media, email campaigns, and advertising, to reach the target audience.

Set up online registration systems to manage attendee sign-ups and ticket sales.

Communicate with registered attendees, provide event information, and address inquiries.

Develop event agendas and schedules, including keynote speakers, sessions, workshops, and entertainment.

Coordinate with speakers, presenters, and performers to ensure they are well-prepared for the event.

Oversee the execution of the event on the day(s) of the event.

Manage event staff, volunteers, and vendors to ensure smooth operations and timely execution.

Handle any unexpected issues or emergencies that may arise during the event.

Ensure that attendees have a positive experience by providing excellent customer service and addressing any concerns.

Gather feedback from attendees, stakeholders, and team members to assess the success of the event.

Evaluate the event's goals, outcomes, and areas for improvement.

Create post-event reports that highlight achievements and provide recommendations for future events.

Keep up with industry trends, new technologies, and innovative event concepts to enhance event planning capabilities.

Additional Responsibilities 3

Job Knowledge & Skills

Proficiency in graphic design software such as Adobe Creative Suite to create visually appealing and impactful design concepts.

Strong understanding of design principles, typography, color theory, and layout techniques to produce high-quality and engaging visual content.

Creative vision and conceptual thinking to develop innovative and effective design solutions that align with brand strategies and objectives.

Leadership and management abilities to lead a team of designers, providing direction, feedback, and inspiration to foster creativity and collaboration.

Excellent communication and presentation skills to articulate design concepts, collaborate with cross-functional teams, and effectively communicate with clients and stakeholders.

ERP knowledge preferably SAP functional skills are a requirement to be successful in this role.

Job Experience

Minimum 8 year(s) working experience, 5 year(s) relevant working experience, 2 year (s) GCC is a plus
