Job Summary

The purpose of the Leasing Administration Executive role is to ensure the effective management and administration of the organization's leasing activities. This includes maintaining accurate lease documentation, coordinating with tenants to address inquiries and issues, and ensuring compliance with legal and regulatory requirements. The role supports the leasing team by providing essential administrative functions, facilitating timely rent collection and billing, and managing lease renewals and expirations.

Job Responsibilities 1

Prepare, review, and manage all lease agreements and related documentation to ensure accuracy and compliance with company policies and legal requirements.

Serve as the primary point of contact for tenants regarding lease-related inquiries, maintenance requests, and other administrative matters.

Maintain and update the lease management system and databases, ensuring all information is current and accurately recorded.

Oversee rent collection, process payments, and manage billing activities, ensuring timely and accurate financial transactions.

Monitor lease compliance, track key dates and milestones, and generate regular reports on lease activities and tenant status for management review.

Track lease expiration dates, manage renewal processes, and coordinate with tenants to ensure timely lease renewals or terminations.

Conduct regular audits of lease files and ensure adherence to regulatory requirements and internal policies.

Provide administrative support to the leasing team, including scheduling meetings, preparing lease packages, and coordinating communications.

Job Knowledge & Skills

Understanding of financial concepts related to leasing, such as rent calculations, escalations, and operating expenses.

Proficiency in managing lease payments, budgeting, and financial reporting. Ability to analyze financial statements and forecasts.

Awareness of property management principles, including tenant relations, maintenance coordination, and property inspections.

Strong organizational skills to manage multiple properties and leases. Ability to coordinate with property managers, tenants, and service providers.

ERP knowledge preferably SAP functional skills are a requirement to be successful in this role.

Job Experience

Minimum 8 year(s) working experience, 5 year(s) relevant working experience, 2 year (s) GCC is a plus.
