Office Manager

Job Summary

Supports company operations by maintaining office systems and supervising staff, ensuring that the office runs smoothly and effectively by meeting day to day requirements of the department. 

Job Responsibilities 1

  • Responsible for office administration and ensures the smooth and effective overall operations of the office.
  • Establishes and monitors office procedures, coordinates schedules, appointments and bookings.
  • Organizes orientation and training of new office staff.
  • Prepares high level reports.
  • Ensures to compile data, prepare error free reports or collate data for consideration and presentation by supervisor as and when required within the set deadline.

Job Responsibilities 2

1. Office Administration

  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Allocation of available resources to enable successful task performance. 
  • Coordinates office staff activities to ensure maximum efficiency. 
  • Organizes orientation and training of new office staff. 
  • Proper coordination with our department and office staff. 
  • Establishes and monitors office procedures. 
  • Coordinates schedules, appointments and bookings. 
  • Monitors and maintains office supply acquisitions. 
  • Manages internal staff relations

2.    Correspondence and Information Management

  • Ensures security, integrity and confidentiality of correspondence and information.
  • Designs and implement effective filing system. 
  • Ensures filing system are maintained and current. 
  • Ensures to assign a staff to help organize appointments with the direct supervisor and give necessary advice / reminder on daily basis and ensure critical meetings are not missed.

3.    Preparation of High Level Reports

  • Ensures to collate data or to prepare professional reports, memos or presentations as and when requested by the supervisor within the established time frame with minimal errors.
  • Compiles data, prepare error free reports or collate data for consideration and presentation by supervisor as and when required within the set deadline.
  • Prepares accurate and well-presented correspondence on daily basis.
  • Ensures that required correspondence is submitted for signature / approval within one day from receipt of instruction.
  • Prepare and submits all required reports in a timely manner.

Job Knowledge & Skills

  • Knowledge in office administration.
  • Knowledge and experience in delegation of authority and responsibility.
  • Knowledge of Information gathering and monitoring.
  • Excellent working knowledge of English (oral and written)
  • High proficiency in Computer Office Applications & Programs (MS Excel, Word etc.).
  • Knowledge of Arabic Language is advantage.
